ADMINISTRATIVE ASSISTANT TO THE CHIEF CONDUCTOR

MAIN GOALS OF THE POSITION:
The main purpose of the Administrative Assistant to the Chief Conductor is to work closely with the Chief Conductor and the NOW! administrative team in executing objectives that propel NOW! forward. THIS IS NOT A CONDUCTING STAFF POSITION!

DUTIES:

  • Work closely with the Chief Conductor.

  • Respond to all correspondences from the Chief Conductor in a timely manner.

  • Make correspondences on behalf of the Chief Conductor in a timely manner. This includes but is not limited to making phone calls and sending emails to guest artists, and venues on behalf of NOW! and also to other orchestras and opera houses specifically on behalf of the Chief Conductor.

  • Be available to provide personal support for all Chief Conductor activities with NOW! and other arts organisations including in rehearsals, concerts, and other times as required.

  • Negotiate vendor rates for area vendors including hotels, caterers, rental car agencies, car services, etc as needed.

  • Make and execute strategies to promote NOW! with other arts organisations including music festivals and venues.

  • Maintain artistic files for both the Chief Conductor and NOW!.

  • Other administrative duties as assigned by the Chief Conductor.

QUALIFICATIONS AND CAPABILITIES:

  • Superior written and verbal communication skills. Professional fluency in German and English is essential. Additional languages are advantageous.

  • High level of interpersonal skills to handle sensitive and confidential situations with maturity, poise, discretion and confidentiality.

  • Effective organisational and clerical skills with the ability to meet deadlines consistently.

  • Ability to represent NOW! professionally and effectively with a wide range of constituents including orchestra members, staff, board, guest artists, patrons, and others.

  • Appreciation for, understanding of, and sensitivity to the needs of professional artists, including orchestral musicians, guest artists, and conductors.

  • Flexible schedule with availability on nights and weekends during Chief Conductor’s NOW! conducting weeks and administrative periods.

  • Excellent computer skills including thorough knowledge of Microsoft Office and the Google suite is essential.

  • Must be able to read music and be familiar with music terminology.

  • Knowledge of symphony orchestra structure and practices, symphonic repertoire preferred.

  • Experience and or significant knowledge about artist management is necessary.

  • Bachelor’s Degree in music or arts administration or professional experience managing an artist or working within an arts organization with a music organization is highly desirable.
